Artwork Archive   Reviews and Product Details

A small team of artists, entrepreneurs, designers and developers created Artwork Archive back in 2010 for other artists, collectors and organizations to better manage their art collections.

Artwork Archive was one of the first cloud-based art inventory software on the market. They take pride in working closely with clients and providing support in building art management systems for their galleries and other businesses. “Our program is accessible enough for early-stage artists or collectors and powerful enough for complex organizations managing global collections,” say owners of Artwork Archive.

Artwork Archive software is loaded with features for artists, organizations and collectors.

Artists, whether aspiring or professional, can generate and manage inventory lists (including thorough descriptions and a curated list of artworks), and create consignment reports and invoices to provide galleries with price, dimensions and other details. Artists are also able to create labels for their artworks: print address or detailed tags onto Avery 5160 size.

Additionally, the Artwork Archive makes it easy to share and exhibit paintings or sculptures online and in person. Artists can start by creating advanced portfolio pages and sending them as a catalogue to impress galleries and buyers. One of the most important aspects of an artist’s work is providing a certificate of authenticity. Artwork Archive allows for a quick and easy design of a certificate of authenticity to submit with a sold artwork.

On the other hand, collectors can trust the Artwork Archive to digitize, organize and store their art collection online. All information, including location, conditions, record acquisition, artist profile and more is available to access from any device.

When investing in paintings or sculptures, you want to protect and preserve them.e Artwork Archive software keeps all data safe by utilizing enterprise-level security, encryption, and advanced authentication protocols.

Speaking of technical and administrative sides of owning original artworks, collectors can also generate and share reports (insurance, payments, catalogues, inventory sheets and more.) Having easy access to cloud-stored information is useful when collaborating with accountants, advisors, attorneys and other partners.

Analytics also allow you to understand the total value of your collection and track consign artwork, donations and loans.

While artists and collectors find the Artwork Archive a useful and helpful tool, organizations such as art galleries cannot even manage without it: the software assists in dealing with the most burdensome tasks. By allowing gallery managers to merge all their data (images, financial papers, location trackers, purse records, contacts and more), the software makes their work more efficient and straightforward.

Cataloguing images and documents make online exhibitions easier to organize and access by curating and collaborating across team members: create Private Viewing Rooms, send out invitations and share your collection with art enthusiasts and potential buyers. The Artwork Archive’s Exhibition tool allows to upload media files like artist interviews, guided tours and press releases. (Make sure to archive previous exhibitions for retrieval of researchers, collectors and colleagues.)

Finally, no one wants their reputation to suffer from data leaks, especially such prominent organizations as art galleries. That is why Artwork Archive uses enterprise-level security that promises the highest level of security and stability.

Artwork Archive   reviews

What our experts think

Pros:

  • Easy to use
  • Professional inventory system

The most praise comes from users who signed up for the Artwork Archive because of straightforward and simple, yet intuitive features, and a professional inventory system.

“You can see with the click of a button what work is in which gallery,” said one of many satisfied users.

Other users also note how intuitive the software is: allowing to record and track details of exhibitions, and sold or consigned artworks.

  • Suitable for artists of any level

Artwork Archive is unbiased when it comes to artists: anyone from entry to advanced-level painters and sculptors can find this software useful and easily customizable to manage their art production and promotion. “The Public Profile has rocketed my ability to share my work in one beautiful location. I consider it my simple and outstandingly professional-looking electronic calling card,” said another artist.

  • Comprehensive customer support:

Whether you oversee a relatively small or vast art collection, Artwork Archive assists with immediate response and helpful demonstrations of features.

 Cons:

  • Simple interface

What sounds like an advantage to some, appears as a minor, yet improvable disadvantage. Several users noted that they wish the interface would be more customizable. “Would love to see a more prominent way to feature a link to outside webpages like artist of gallery webpages that also feature or sell a particular artist’s art,” based on one of those reviews.

Another suggestion they have is to make traffic data available: it would be useful to take a look at traffic statistics and especially keep an eye on art pieces that get the most/least views.

  • The contact tab needs some improvement

Another minor complaint is that there is no easy way to distinguish current contacts from previously featured artists. (All contacts are stored in a “contacts” tab.) “Not a big deal, really, but you do need to ensure that you’re completing the profile,” as per one user. Users say it would make the data collecting and tracking process even easier if viewers could see a biography of an artist that they entered in the contact profile.
